Winning the Contract Is Only Half of It: Keep Your Company in Good Standing

Plenty of small contractors put real work into SAM.gov and their certifications, then lose ground on the basics that keep the business eligible. A few things worth putting on the calendar:

  • State annual reports and fees. Most states require an annual or biennial report. Miss it, and the state can administratively dissolve or suspend your entity, which can put active contracts and your SAM.gov registration at risk.
  • SAM.gov renewal. Registrations must be renewed every year. If yours lapses, you generally can't receive new awards until it's active again.
  • Registered agent coverage. Every state you're registered in requires a registered agent with a current address. A lapsed agent means missed legal and tax notices.
  • Consistent records. Your legal name and address should match across state filings, the IRS, and SAM.gov. Changes in one place need to be updated everywhere.
  • Certificates of good standing. Primes, lenders, and certification reviewers often ask for one. It helps to know you can pull it on short notice.

A simple compliance calendar with renewal dates and reminders a few weeks out saves a lot of last-minute scrambling.

Full disclosure: BizProz handles registered agent service and compliance tracking for businesses, so this is something we deal with every day. Glad to answer questions here.
